New Position: Client Services Administrator

About the Role

As a Client Services Administrator, you are the operational cornerstone of our client relationships. You will partner with other team members to ensure a seamless client experience. Your execution of administrative and operational tasks is critical to building client trust and enabling our team to deliver outstanding wealth management solutions.

What You’ll Do

  • Client Onboarding & Servicing: Prepare, process, and track all paperwork for new and existing clients, including account applications, asset transfers, and account maintenance requests.

  • Client Administration: Execute client-directed money movements, such as wires, journals, and ACH transfers, with precision and timeliness. Serve as a helpful and trusted point of contact for clients on all administrative matters, building rapport and providing a consistently positive experience.

  • Vendor & Custodian Liaison: Interface directly with our custodial partners and other vendors to resolve issues, process requests, and ensure client needs are met efficiently.

  • Data Integrity: Meticulously maintain our Client Relationship Management (CRM) system, ensuring all client information is accurate, up-to-date, and readily accessible for the team.

  • Office & Team Support: Contribute to a seamless office experience by providing collaborative support for front office and operational tasks as needed.

  • Meticulous Attention to Detail: You have an eagle eye for detail, ensuring accuracy in everything from client paperwork to CRM data entry, all while understanding the big picture.

  • Resourceful Problem-Solver: You possess the common sense and critical thinking to navigate nuanced client situations. You know how to use established procedures as a foundation and intelligently adapt them when necessary to find the right solution.

  • A "Client First" Mentality: You are genuinely service-oriented and skilled at professional, concise, and friendly communication over the phone, email, and in person.

  • Proactive & Curious Mindset: You are eager to learn our systems and procedures, and you're always looking for ways to improve workflow and efficiency. You're not afraid to ask questions or ask for help when you need it.

  • Collaborative Spirit: You are a reliable, transparent, and kind team player who thrives in a collaborative environment and respects everyone's right to work in a welcoming and inclusive space.

  • Experience: An Associate's or Bachelor's degree is preferred. While not required upon hiring, obtaining the Series 65 license will be a requirement for this role, and we will provide support through the process; having the license already is a strong plus. Ultimately, we believe in hiring for aptitude and attitude and are committed to training the right person for a long-term career with our firm.

Salary & Benefits

We offer competitive compensation ranging from a base salary of $60,000 to $80,000, discretionary bonuses, employer 401(k) contributions, the opportunity to earn Success Sharing income, health insurance benefits, and discretionary vacation and sick leave.

Work Arrangement

This role is based in our Carmel Valley office. The initial training period (approximately three months) is fully in-person to ensure a comprehensive and successful onboarding. Following the initial in-person training, this role offers the opportunity for a hybrid work arrangement, requiring at least three days per week in our Carmel Valley office.
